OTTO provides call recording, transcription, and coaching for dealership team members. This policy explains how source material, durable coaching reports, leader visibility, and deletion controls are handled.
Recording and private transcription
OTTO first protects the complete recording in private object storage. After every segment is uploaded and verified, a private worker creates one temporary lossless file for transcription and coaching. Temporary provider and worker files are removed after processing; the protected source recording is not changed.
What OTTO stores
OTTO may store the recorded audio, a private redacted transcript, and a durable coaching report. Source audio, transcripts, recording metadata, and storage details are not available to dealership supervisors or administrators. Durable coaching reports may become visible to authorized rooftop leaders only after updated consent and privacy language is approved, learners are notified, and the explicit feature gate is enabled. Authorized OTTO operations access is restricted and audited.
Delete from OTTO
Delete from OTTO permanently removes the source audio and private transcript from OTTO servers. The deletion cannot be recovered. The coaching report and call-history entry remain so completed learning is not erased.
Questions about recording access or deletion should be directed to your rooftop administrator. You can return to OTTO at any time.
